How workflows work
Automatic emails sent when a trigger happens, with up to 4 follow-ups.
A workflow sends an email when its trigger happens, for example a user who hasn't activated after 2 days, or a failed payment. Open Workflows in the sidebar.
Add a workflow

Pick a trigger
Open the Trigger Library on the right and click a trigger. Triggers you already use don't appear in the library.

Write email 1
Click Edit Template on email 1 to write its subject and body. Email 1 sends as soon as the trigger happens.

Add follow-ups (optional)
Click Add Next Step to add up to 4 more emails (5 in total). Set how long to Wait after the previous email, in hours or days.

Close to save
Changes save when you close the editor or click Save. If you try to leave the page with unsaved changes, your browser warns you first.

Switch it on
New workflows start as Draft. Use the switch on the workflow's card to make it Active.
Already on
Every workspace gets Onboarding Completed and Testimonial Request switched on automatically. The workflows you chose during onboarding are also created switched on.
When emails send
- Only Active workflows send.
- The user needs an email address, must not have unsubscribed, and must not have their automations paused.
- Some triggers send once per user, ever: the time-based ones plus Onboarding completed, First project created, Profile completed, Trial started and Trial expired. The rest send every time the event happens. Repeats of the same event within 10 minutes send only once, unless each has its own
messageId. - If your workspace is over its tracked-user limit, all workflow emails pause until you upgrade or the count drops. This doesn't apply during a trial.
- Time-based triggers are checked every hour, so an email can arrive up to about an hour after its wait ends.
- Users added only through the API or CRM with no product activity don't get the activity-based emails (Inactive, Testimonial, Not activated). See Server API.
Follow-up emails
Follow-ups send after email 1, each waiting the time you set after the previous one. Waits are checked every hour, so an email can arrive up to about an hour after its wait ends.

| Subscription Cancelled | The customer comes back (subscription reactivated, subscription activated or payment recovered). |
| All workflows | The workflow is switched off or deleted, the user unsubscribes or their automations are paused, the email is removed, or the workspace is over its user limit. |
If the same trigger happens again for a user, their follow-ups start over from email 2, so they never get two sets at once.
Billing & churn triggers
The Billing & churn group in the library unlocks once you connect Stripe or Paddle in Settings. Click Show locked triggers in the library to preview them before then.
